SHIFT Update: September 2024

 Good Morning,

As you are aware, the university is focused on the upcoming Elevate launch on November 15, which continues to impact our SHIFT timeline. We’ve met with the Elevate team and plan to scope short and long-term solutions to get AiM into the hands of facilities professionals as soon as possible. Rest assured, when we launch AiM, it will have equivalent to or better functionality to current work management systems. Our integration to Elevate will enhance and streamline our current processes. In the meantime, the delayed launch will not impact our daily operations.

Here’s What We’ve Done:

  • Eight out of 14 Standard Operating Procedures (SOPs) approved
  • Set up 65 shops with supervisor roles and permissions
  • Began AiMCAD training with ACAD-Plus for the Space Management team to learn how to efficiently manage CAD drawings in AiM 
  • Began to offer monthly meetings across each facilities organization for end users with administrative responsibilities to review HR processes, including user profiles, user access, security roles, and offering post-go-live support. 
  • Continuing to make progress on the design and development of dashboards and reports
  • Completed draft of operating procedures for the Capital Projects and Project Management “Lite” module that will be used in phase 1 for O&M and DRF projects
  • Set up 25 inspections and 36 Preventive Maintenance templates in AiM
  • Started setting up work for DRF parts warehouse in AiM
  • Completed the process flow between AiM data and Workday for billing purposes
  • Completed loading Workday data that is needed to create and send billing records from AiM to Workday 

Here’s What’s Coming Up:

  • Finalize remaining SOPs
  • Complete user acceptance testing and start end-to-end integration testing
  • Finalize launch date to align with Elevate
