SHIFT Project Status - June, 2021

The IWMS project has been given a name: SHIFT Project (which stands for SHared Integrated Facility Technology). SHIFT will purchase and implement a system that supports all Facilities Management operations on campus including the Division of Student Affairs (Department of Residential Facilities, Dining Services and Stamp). 

 

Since May 3rd, our Project Management Team has held more than 40 requirements gathering sessions, with over 400 participants, including many of you. Thanks for participating and sharing your thoughts! These sessions have been very successful and have resulted in the following accomplishments: 

  • Incredible, enthusiastic, and engaged participation!
  • Understanding facilities processes and how a new system can support your work
  • Identifying what a new system must do for us 

 

Over the next few months the SHIFT team will be preparing for the procurement process. A Request for Proposals (RFP) will provide a very detailed description of our needs and will be distributed widely. The SHIFT team will be thinking through our existing and new work activities and how they will connect to a new system. 

 

We are also connected to the other big technology change on campus: the Elevate project. Elevate is replacing our financial, student, and human resources tools. SHIFT and Elevate will need to begin at around the same time. 

 

Below is a brief summary of our timeline and next steps in the SHIFT process:

  • Completion of requirements gathering (mid-June)
  • Review and approval of the requirements (mid - late June)
  • Release of RFP (mid July)
  • New system demonstrations (late August through early September)
  • New system selected (end of September)
  • Implementation Kick-off (early November)

 

We have developed a process that involves everyone. Here are some ways that you can continue to be involved in SHIFT: 

  • Serve as a subject matter expert (SME) to support the work of mapping current processes, aligning across multiple divisions and designing facilities processes to align with industry best practices and system capabilities. 
  • Attending system demonstrations and providing feedback on key features and functionality.
