SHIFT Update: August 2024
Greetings Everyone,
We are continuing to make strides on developing a best-in-class product for our campus facilities teams. We greatly appreciate your support and flexibility especially as we reset project timelines to align with the Elevate project. Our new launch date has not been finalized but the SHIFT project is not standing still. We have continued to make progress, welcome new team members, and prepare for training.
Here’s What We’ve Done:
- Worked closely with Elevate to map data connections between Workday and AiM. More work and feedback from the Elevate team is still needed, but we have made progress.
- Continued to meet with various stakeholders to gather high-level requirements for dashboards and reports. The IT team is developing and designing the structure and layout.
- Continued testing of modules, including Keys & Access and Preventative Maintenance.
- Finalized Administrative and Account Management SOP - Scheduled a meeting with key stakeholders and administrators to share the processes and their roles.
- Finalized a tiered approval process for technicians to initiate purchase requests. Based on a certain dollar threshold, requests will be reviewed and approved by a supervisor or manager, then processed by the warehouse team. This process will empower technicians by establishing a transparent and streamlined workflow for all purchase requests.
- Collected necessary key and lock information from Residential Facilities, AssetWorks will load data into AiM this month.
- Rebranded ReADY Request customer portal to Facilities Service Central along with new logo and icons!



Here’s What’s Coming Up:
- Finalize launch date to align with Elevate.
- Finalize all SOPs.
- Complete user acceptance testing and start end-to-end and integrations testing.
- Share training schedule.
New Team Members:
- Welcomed Steve Ramirez as the Project Management Workstream Lead.
- Project co-owner Andi Crabb has left UMD and Nicole Miskimon will return as the Project Owner for Student Affairs.
- Welcomed Sarah Tsui as the Change Manager.

Did You Know?
AiM will recognize a variety of "warehouse locations" in both FM and in DRF. This will allow technicians quick and easy access to most frequently used parts that will then be replenished from the central FM Warehouse.
