SHIFT Project Status - August, 2021

This is the fourth update on the search for a new work management system for UMD. The SHIFT project will purchase and implement a system that supports all Facilities Management operations on campus including the Division of Student Affairs (Department of Residential Facilities, Dining Services, RecWell and Stamp). SHIFT represents a unique and innovative project that involved the collaboration of facilities groups across campus for the first time.

 

July was extremely productive as we closed out the requirements phase and began our work on the RFP and process documentation.  Tremendous milestones reached included:

  • Process Development plan finalized and Phase 1 started - 07/06
  • RFP posted on eMMA - 07/16
  • Technical Evaluation Committee (TEC) voting member kickoff - 07/1
  • SHIFT/Elevate high-level integration points meeting (08/02) 
  • Proposals received from vendors (08/09)

 

The TEC is made up of nine (9) voting members that comprise the Workstream Leads (4 from FM), Project Owners (1 from FM) and a Technical Advisor. Over the next few months the TEC will be heavily engaged with the proposal review process.  At the same time, the SHIFT team is facilitating process development activities (the steps in how we do our work), and determining the best approach for alignment with the Elevate project. Key upcoming project milestones include:

 

  • Finalize Phase 1 analysis for process documentation (today)
  • TEC Proposal Review Process kickoff (today)
  • Begin Phase 2 process documentation: Stakeholder interviews, Observations, and analysis (08/16 - 10/22)
  • Platform demonstrations (9/24 - 10/1)
  • Notification of Intent to Award (10/18)
  • Approval of Award  (12/07)

 

We have developed a process that involves everyone. Here are some ways that you can continue to be involved in SHIFT: 

  • Coming soon: Process Development training video and facilities staff questionnaire. This will allow you to share the process of how you do your work. There will be opportunities that will allow you to participate and contribute throughout the Design phase.
  • Attending system demonstrations and providing feedback on key features and functionality.
